Auto-Doc Numbering During DII Load
 
 
 

Tutorial Overview:

When loading a DII file users can select to auto-populate the beginning document number, ending document number, and/or page amount fields in the database. The auto-populate set up provides the user with three different options:

Option 1:

Auto-populate the Column To Image Tag with the Imgtag number and the ending document number or the page count number into the default fields

Option 2:

Auto-populate the Column To Hold Image Tag, a field other than the Column To Hold Image Tag with the Imgtag number (or beginning document number), the ending document number, and the page count number into fields other than the defaults

Option 3:

No database fields (other than the field selected as the Column To Hold Image Tag) are auto-populated.

Option 1

You want to load a DII file and are using the default fields to hold the Imgtag (DocID in the E-table, or Begdoc# in the Stdtable), and would like to auto-populate the ending document number and page count in the default fields (Bates Range and Pgcount in the E-table, or Enddoc# and Pgcount in the Stdtable).

Scanned Paper only:

If you are loading only Scanned Paper documents, are using the Stdtable, and want to auto-populate the beginning document number, ending document number, and page amount in the default fields use the following settings in the Doc Numbering tab located under the Defaults option in the Options menu:

Steps

  1. Select the Scanned Paper option under the Choose a Document Numbering Practice section.

  2. Select Begdoc# as the Beginning field; Enddoc# as the Ending field; and Pgcount as the page amount field.

  3. Check the option to Auto-Fill Ending Document Number and Number of Pages Fields during Data Entry and Editing.

eDocs and/or Scanned Paper:

If you are loading Scanned Paper and electronic documents, using the E-table, and want to auto-populate the beginning document number, ending document number, and page amount in the default fields, use the following settings in the Doc Numbering tab located under the Defaults option in the Options menu:

Steps

  1. Select Scanned Paper & eDocs option under the Choose a Document Numbering Practice section.

  2. Select DocID# as the Document ID Field field; Batesrng as the Bates Range Field field; and Pgcount as the page amount field.

  3. Check the option to Fill empty Bates Range from Document ID and Pages field. This option determines whether the Bates Range or Pgcount fields will be auto-populated during a DII load.

Note:

The option to Keep Bates Range and Pages fields in sync during Data Entry (in the Doc Numbering tab under Options\Defaults) determines whether the Bates Range or the Pgcount fields will be auto-populated during data entry.

 

Option 2

You want to load a DII file and are using the default fields to hold the Imgtag (DocID in the E-table; or Begdoc# in the Stdtable), but want to auto-populate the beginning document number, ending document number, and page count in fields other than the defaults (see Option 1 above).

Scanned Paper only:

If you are loading only Scanned Paper documents, are using the Stdtable, and want to auto-populate the beginning document number, ending document number, and page amount in the default fields use the following settings in the Doc Numbering tab located under the Defaults option in the Options menu:

  1. Select the Scanned Paper option under the Choose a Document Numbering Practice section.

  2. Select: Custom field 1 as the Beginning field; Custom field 2 as the Ending field; and Custom field 3 as the page amount field.

Scanned Paper only:

If you do not want to auto-fill the beginning document number (if different than the Column To Hold Image Tag), ending document number, and page amount fields, then uncheck the option to Auto-Fill Ending Document Number and Number of Pages Fields during Data Entry and Editing.

eDocs and/or Scanned Paper:

If you do not want to auto-fill the beginning document number (if different than the Column To Hold Image Tag), ending document number, and page amount fields, then uncheck the option to Fill empty Bates Range from Document ID and Pages field.

Note:

The option to Keep Bates Range and Pages fields in sync during Data Entry (in the Doc Numbering tab under Options\Defaults) determines whether the Bates Range or the Pgcount fields will be auto-populated during data entry.
