Copying a case to removable media in Summation
 
 
 

Tutorial Overview:

You own Summation Blaze LG Gold or iBlaze and need to share part or all your case data with another party, such as co-counsel, an expert witness, or a client, that owns a Summation Blaze LG Gold or iBlaze system. If such a scenario exists, then you can benefit from the functionality provided in the Summation Blaze LG Gold or iBlaze system that allows you to copy a case (or portion of a case) to removable media. Removable media may include floppy disks, Zip® disks, Jaz® disks and Rewriteable CDs (CD-RW).

NOTE:

You can copy a case to a CD-RW provided you use Adaptec® Direct CD (v3.01 or higher) software, which supports read-write file access on the CD-RW drive via Windows Explorer. Before you start the CopyCase process, launch the Adaptec® Direct CD software and follow the steps to format the CD-RW. You do not have to format the entire CD-RW before copying the case, and a "fast format" is sufficient (see the Adaptec® documentation for details). It is extremely important that all writing to the CD-RW is allowed to complete before the CD-RW is ejected or the computer is shut down. Formatting a CD-RW may take up to an hour to complete, while CopyCase may only take a few minutes. Therefore, it is important to pay careful attention to the status of the CD-RW write processes.

Before copying a case to removable media, check the total size of your case directory (Note: To locate your case directory, select "Customize" from the "Case" menu, and follow the path listed in the "Case Directory" field), and make sure that it's contents will fit on the media. If your case includes images that are not stored in the case directory, then check the total size of the case directory and images directory combined. If the image files and/or case folder is too large to fit on the same media you may have to seperate your your case folder and your image files separately onto another CD.

Tutorial Steps:

  1. Open the Summation case you want to copy.

  2. If you are copying to a CD-RW, open the Adaptec® Direct CD (v3.01 or higher) software. The CD-RW must be formatted using either a fast format or a normal format process before you begin copying the case (see Note above for more detail).

  3. From the "Case Tools" menu select "Copy Case". The CopyCase wizard will open to the Source Case Selection screen. The name of the active case will display as the "Source" case (the case you are copying from).

  4. Click "NEXT".

  5. The "Target Program Directory" is the location to which you are copying the case. Select or browse to the removable media's location in the "Target Program Directory" field. Note: The pull-down list displays the most recently selected directories.

  6. Check the option: "Copy to Removable Media". The Summation program does not have to exist on the removable media.

  7. The option "Copy with a New case name by typing a name below" is auto-selected for you. Enter a new case name for the case you store on the removable media. Note: You can use the same case name as the original.

  8. Click "NEXT".

  9. If you want to copy the case in its entirety, then select the "Copy All Elements of Case" option.

    OR.

    If you want to copy specific elements of the case, then select the "Copy Designated Elements" option, and click "Next". The next series of dialogs will guide you through selecting the elements of the case you want to copy to removable media (see the CopyCase White Papers on our website for details on copying elements of the case).

  10. Click "NEXT".

  11. Review the summary of the case elements you have chosen to copy. If the choices are satisfactory, then click "FINISH".

  12. When the database is being copied, you will be asked if you want to make the copy "addable". If you select "Yes", then new records can be added to that database during future merges. If you select "No", then new records will not be added to that database during future merges. Note: You can modify this setting at a later time, if you change your mind.

When connecting to or copying a case that is saved on a CD-RW, then the computer (the one the other party will copy the case to or connect to the case from) must have a CD-RW drive and the Adaptec® Direct CD software installed on it. If you do not start Adaptec® Direct CD software, but leave it running in the background while connecting to a case on a CD-RW disk, Summation will not be able to save data (such as edits you make in the Core Database or notes you make on transcripts) to the CD-RW.
