Database Care - Utilities & Maintenance
 
 
  Overview:

It is extremely important to perform database maintenance regularly, especially during periods of data entry. The Check, Pack and Blaze utilities built into the Summation system help ensure efficient and successful performance of your database. The procedures outlined in this tutorial will guide through successfully performing database and ocrBase maintenance.

1) Backing up the Database:

  1. Select the Tools option from the File menu.

  2. Select the Backup Database option from the Tools menu.

  3. Check the Document and/or Note DB options box by clicking on it.

  4. Click the Backup button.

  5. When the back up is complete, a message will display indicating that the database was copied. Click OK.

 

2) Checking the Database:

  1. Select the Utilities option from the Option menu.

  2. Click on the Check DB For Errors button.

  3. Summation will run a check of the data in your database. If no errors are reported, proceed to Step 3. If errors are reported, contact Summation Technical Support (at 800-786-2778).

  4. Click OK to close the dialog box.

  5. Press any key to close the Check DB report.


3) Packing the Database:

  1. Select the Utilities option from the Option menu.

  2. Click on the Pack Database button.

  3. If you backed up the database before opening the Utilities dialog, then click on Yes when prompted to Proceed with packing. If you did not backup the database, click on No and go back to Step 1.

  4. Summation will Pack the database, which compacts the database by purging deleted records and rebuilds the indexes for your keyed fields.

  5. When the Pack is complete, press any key to close the Pack log.

 

4) Blazing the Database:

If you are preparing to regularly search the database you may also want to Blaze the database. (Word and phrase searches are greatly accelerated by Blazing a database.)

  1. Select the Utilities option from the Option menu.

  2. Click on the Blaze Current Form button.

  3. Determine whether you want to use the Optimized Index option. Optimized indexing organizes related words together (once the all word index is created) making search retrieval even faster.

    Note: For more information on Optimized Indexing, refer to the Help System in the Summation system.

    If you want to use Optimized Indexing, then check the Optimize Index option under the Blaze Current Form button.

    If you do not want to use Optimized Indexing, then uncheck the Optimize Index option under the Blaze Current Form button.

  4. If your case includes ocrBase documents and you have not Blazed the document since the last time you Checked and Packed the database, then you should Blaze the ocrBase at this time.

    If you want to Blaze the ocrBase (which also give you the option to Pack the ocrBase), then check the Also Blaze ocrBase option under the Blaze Current Form button.

    If you do not want to Blaze the ocrBase (which also give you the option to Pack the ocrBase), then uncheck the Also Blaze ocrBase option under the Blaze Current Form button.

  5. When prompted with the Pack ocrBase dialog, determine whether you want to Pack the ocrBase before Blazing it.

    Click No, if you packed the ocrBase separately before proceeding to Blaze the database.

    Click Yes, if you did not Pack the ocrBase separately before proceeding to Blaze the database.

  6. Summation will index the active form in the database. The Blaze process creates an index of words used in the text fields (type NOTE, TEXT, MULTI). The index (or vocabulary list) is used during searches, which results in a more efficient search process.

  7. Press any key to continue when the Blaze is complete.
