Summation users should maintain their databases on a daily basis during periods of heavy data entry. Summation Blaze includes utilities to both check database integrity and optimize database searches. The following instructions detail the maintenance procedure.
"Daily Care", During periods of data entry the following procedures should be followed at the end of each day.
Step 1 : Backing up the Database
|
- Select Open from the Case menu and select the case to be maintained.
- From the Case menu, select Backup Database. Select the Document DB.
- Click on the Backup button. The database is now backed up into your Case Directory and can be restored easily from Case Restore.
|
Step 2 : Checking the Database
|
- From the Options menu, select Utilites.
- Click on Check DB for Errors.
- Summation runs a check of the data in your database. If no errors are reported, proceed to Step 3. If errors are reported, contact Summation Technical Support.
- Press any key to continue when the check is complete.
|
Step 3 : Packing the Database
|
- From the Options menu, select Utilites. (If you have just completed checking the database, you are already at the Utilities menu.)
- Click on Pack DB.
- Summation packs the database. This compacts the database by getting rid of deleted records and rebuilds the indexes for your keyed fields.
- Press any key to continue when the pack is complete.
|
Step 4 : Blazing the Database.
If you are preparing to regularly search the database you may also want to "Blaze" the database. (Word and phrase searches are greatly accelerated by "Blazing" a database.) If this is the case, you will also need to follow these additional steps after packing your database:
|
- From the Options menu, select Utilites. (If you have just completed checking the database, you are already at the Utilities menu.)
- Click on Pack DB.
- Summation packs the database. This compacts the database by getting rid of deleted records and rebuilds the indexes for your keyed fields.
- Press any key to continue when the pack is complete.
- From the Options menu, select Utilites. (If you have just completed packing the database, you are already at the Utilities menu.)
- Click on Blaze Current Form.
- Summation Blazes the current form in your database. This created an index of words used in the text fields (type NOTE, TEXT, MULTI) that is used in searches (see the Vocabulary List).
- Press any key to continue when the Blaze is complete.
