Note: User must have knowledge of db back-up procedure, hard drive space on server/workstation, how to check for users in the case to be converted. It is assumed user has knowledge of basic SW and Windows commands and procedures.
Overview: To take advantage of the new features of SW 5.x, old style db’s must be converted to the new 5.x format. One piece of knowledge the user will need is the size of the note file and db. By going to Case-Case Customize and checking the Database Name section, the user is able to see the path and name of the db.
By using Windows Explorer or the File Manager the user is able to browse out to the specified location to check on the db files. For each db there are three files. They are specified by the db name with either the .rbf (old style) or .se1, 2, 3 (new style) extension. Each .rbf or .se file will be numbered 1, 2, and 3. The number 2 file is where most of the db’s information is kept and
is the file used to judge the size of the db. Note also on the Case Folder-Main Window the Note file and db folders have a letter on the extreme right in brackets ( ). If the letter is O the db is the old style. If it is N, it is the new style. Upon conversion, the converted db will be able to use HOTDOC, it will have the new 30,000 character field limit, 60,000 character record limit
and other 5.x specific features.
- Please back up your db or case directory before proceeding.
- Make sure no users are in the db that you are trying to convert.
- Check the number 2 db file for the size of the db. During the conversion process, SW will need three times the hard drive space for the note file and db file. For example, if the note file is 2 megs and the db is 5 megs, a total of 21 megs is needed on the drive in which the db’s are located.
- Close all other programs before proceeding and do not interrupt the process once it starts.
- Read the warning on the screen before starting the conversion process.
- Open the case with the db’s to be converted.
- Read the Warnings section above and follow all the stated steps.
- On the Case Folder Main Window, press Ctrl-Shift-C, read the warning and follow the steps outlined in the conversion Wizard.
Addendum: It cannot be stressed enough that the conversion utility must fully complete, otherwise both the note file and db may become corrupted. There is no recovery for db’s that are damaged during the conversion, so a back up before starting is the only way data may be restored.
